When Drawings, 3D Models and Samples Disagree: A Quotation Clarification Register

Resolve conflicting part information through a feature-level decision register before approving a drilling and tapping machine quotation.

BINSING dual-servo drilling and tapping platform for a configuration review

The short answer

List each disagreement against an identifiable feature, preserve the source revisions and ask the buyer's designated technical authority to resolve it. Record the approved requirement, affected machine decisions and remaining quotation assumptions. A recent file or physical sample is not automatically the controlling requirement. Close conflicts explicitly before treating the associated configuration as approved.

Review the published specifications and configuration options against your part drawing before requesting a quote.

Turn a vague discrepancy into a specific question

A quotation may arrive with a drawing, a solid model and a sample that tell different stories. Start with a short register of contradictions. Assign each issue an identifier and point to the exact hole, face or note involved. Describe what each source says without deciding which interpretation is easier to machine.

Keep the source file names, revisions and issue dates alongside the question. For a physical sample, record its label and known origin: an approved production part, a prototype or an unidentified example. These distinctions matter because a sample can illustrate geometry while containing an intentional deviation. Receiving it does not establish permission to reproduce every measured feature.

Use a register that connects evidence to a decision

The following hypothetical entries show the level of specificity to request. Replace the examples with your actual feature references and source identifiers. The decision column should eventually contain an authorized answer or a clearly retained open item, rather than a supplier's informal guess.

Illustrative drawing, model and sample conflict register
Issue and sourcesQuestion for the technical authorityConfiguration decision affected
C01: drawing shows a thread; model shows a plain boreIs the model simplified, or is the thread callout obsolete?Tapping operation, tooling and inspection scope
C02: sample has a chamfer absent from the drawingIs this required geometry or an unapproved sample condition?Chamfering operation and finished edge review
C03: model and drawing use different hole locationsWhich released feature definition applies?Spindle layout, fixture and position checks
C04: sample locating face differs from modeled blankWhat incoming condition will production actually supply?Workholding concept and preparation boundary
C05: attached note references an unavailable revisionWhich referenced requirements must accompany this inquiry?Scope assumptions and quotation release status

Name who can approve the answer

Purchasing can collect questions, but the person authorized to define the component must resolve the requirement. Identify that role before several teams begin answering independently. If the part belongs to your customer, establish how an approved clarification reaches the machine supplier. An email explaining a likely intention should not silently become a new manufacturing specification.

Record the answer, approver, approval date and document that carries the decision forward. If one source governs geometry and another carries requirements omitted from that source, describe that division explicitly. Avoid a blanket instruction to follow the newest file when different files cover different information. The supplier needs an unambiguous requirement for the affected feature.

Separate provisional pricing from approved machine scope

A supplier may be able to discuss a platform while one conflict remains unresolved. Identify which part of the proposal depends on the answer and ask for that assumption to be visible. For example, uncertainty about an additional thread may affect the process sequence, tooling and inspection package even if the general machine arrangement remains a reasonable starting point.

After a decision, request a response against the same issue identifier: no configuration change, revised scope, or further review required. Retain any effect on quotation validity, cost or schedule in the commercial exchange. Closing a drawing question does not automatically close the related equipment question; both decisions should be traceable before the order baseline is agreed.

Close the loop with one usable information package

Send the corrected files together with the resolved register and a short list of superseded references. Ask the supplier to identify which revisions its updated proposal uses. Where a clarification has not yet been incorporated into a released drawing, retain the approved instruction with the package and assign responsibility for the later document update.

For a BINSING inquiry, email the conflicting views or marked features and explain the machine decision that depends on each answer. Keep unresolved items visible instead of describing the whole drawing package as final. This makes the next exchange actionable: engineering confirms the component requirement, and the machine review establishes how the proposed equipment addresses that confirmed requirement.

Prepare your part information

  • Each contradiction has a feature reference and issue identifier
  • Drawing, model and sample origins are recorded
  • Technical approval authority is named
  • Quotation assumptions and affected equipment items are linked
  • Corrected package and superseded references are identified

Common questions

Should the 3D model always take priority?

No universal priority can be assumed. Ask the technical authority to state the controlling information for the disputed feature and preserve that decision with the inquiry.

Can a sample settle a drawing disagreement?

It can provide evidence, but its revision and approval status matter. A measured sample feature should become a requirement only through the authorized clarification process.

Can quotation work continue while an issue is open?

Independent review can continue if the dependency is clear. Keep affected pricing or configuration assumptions provisional and request an updated proposal after the requirement is resolved.
